A list many landlords keep
Often monthly: heating that you are responsible for, obvious leaks, smoke-alarm test if you agreed to do it.
Often yearly: boiler service you book with a tradesperson you choose, certificates you already hold (gas, electrical, BER) and their expiry dates.
Record the date and the file in the compliance or inspection screens. Certificate reminders warn you before those dates.
When a tenant reports a problem
They log it with photos in the tenant portal. Under the ceiling you set, a matching trade is dispatched in the app and you are told. Over that ceiling, one approval. No email blast.
